Batbox Cookie Policy

Effective Date: September 15, 2025

Batbox Holdings, Inc. (“Batbox,” “we,” “us,” or “our”) uses cookies and similar technologies on our websites, mobile apps, check-in systems, booking platforms, and other digital interfaces (collectively, the “Platform”). We use these technologies to keep our services running, to better understand how visitors use our site, and to offer a more personal experience. This Cookie Policy explains what cookies are, how and why we use them, and how you can accept or reject non-essential cookies (including through Global Privacy Control signals).

1. What Are Cookies

Cookies are small text files stored on your device (computer, smartphone, tablet) when you access certain websites or apps. Cookies allow websites to recognize your browser or device and store information about your usage patterns, preferences, and interactions.

We also use related technologies such as tracking pixels, web beacons, local storage, device fingerprinting, and scripts, which collectively are referred to as “cookies” throughout this Policy.

2. Why We Use Cookies

We use cookies and similar technologies for several key purposes:

  • To operate the Platform and ensure functionality, including logins, check-ins, and simulator session tracking
  • To remember your preferences, such as language and location settings
  • To measure usage, engagement, and performance across pages and digital properties
  • To facilitate marketing campaigns and retargeting across platforms (e.g., social media, display ads)
  • To collect leads and behavior data from users interacting with forms related to venue bookings, event inquiries, franchise/licensing requests, and investor contact
  • To support integrations with third-party tools, including CRMs, ad networks, payment gateways, and video hosting platforms
  • To improve site security and protect against fraudulent use

3. Types of Cookies We Use

  • Strictly Necessary Cookies These are required to enable core functions such as session management, user logins, simulator activity, booking workflows, and security. These cannot be disabled through the cookie banner.
  • Performance and Analytics Cookies These help us understand how users interact with our Platform, allowing us to improve navigation, identify bugs, and optimize performance. We use tools like Google Analytics and Hotjar.
  • Functionality Cookies These remember user settings, login state, and customizations to enhance usability. For example, they store session preferences, form field memory, and pre-filled information for returning users.
  • Advertising and Targeting Cookies These track user activity for the purpose of delivering relevant ads, tracking marketing attribution, and supporting social media remarketing. This includes technologies such as Meta Pixel, LinkedIn Insight Tag, and Google Ads.
  • Lead Conversion and CRM Cookies These track user actions related to form submissions, simulator bookings, or franchise inquiries. These may sync with tools like HubSpot, Salesforce, or custom CRMs to optimize follow-ups.
  • Embedded Content Cookies We may embed videos, maps, or third-party forms from services like YouTube, Vimeo, Typeform, or Calendly, which may set their own cookies.

4. Third-Party Cookies

Batbox may permit select third parties to set cookies on our Platform. These third parties may include:

  • Analytics providers such as Google Analytics and Hotjar
  • Ad networks such as Google Ads, Meta (Facebook/Instagram), and LinkedIn
  • Marketing automation tools such as Klaviyo, Mailchimp, or HubSpot
  • CRMs such as Salesforce or proprietary systems
  • Payment and booking systems like Stripe, 7ROOMS, and GoTab
  • Embedded services such as YouTube, Vimeo, or Google Maps

These third parties may collect information about your online activities over time and across different websites and may be subject to their own privacy and cookie policies.

5. Cookie Duration

Some cookies are session-based and expire when you close your browser. Others are persistent and remain on your device for a set period or until manually deleted. Cookie duration depends on the function and the service provider.

6. Legal Basis and Consent

Where required by applicable law, Batbox obtains your consent for the use of cookies other than those that are strictly necessary. Consent is managed via our cookie banner, which provides two clear options:

  • Accept – allows us to use non-essential cookies (analytics, advertising, lead tracking, and integrations).
  • Deny – blocks all non-essential cookies. Only strictly necessary cookies will remain active.

We also honor the Global Privacy Control (GPC) signal. If your browser sends a GPC signal, our systems will automatically treat this as a “Deny” choice, even if you do not interact with the banner.

7. Managing Your Preferences

You have the right to control the use of non-essential cookies:

  • Use the cookie banner to Accept or Deny cookies.
  • If you previously accepted, you may revoke consent at any time by selecting Deny in the banner (or by enabling a GPC-enabled browser).
  • You may also adjust your browser settings to block or delete cookies altogether.

Please note that denying non-essential cookies will not affect the operation of our core booking and simulator systems, but may limit analytics, personalization, and marketing features.

8. Updates to This Policy

We may update this Cookie Policy from time to time to reflect legal, operational, or technological changes. Any changes will be posted on this page with an updated effective date. We encourage you to review it periodically.

Consent

We use cookies.

Batbox uses cookies and similar technologies to operate our Platform, ensure essential booking and session features, and — with your consent — to support analytics, marketing, and integrations. When you first visit our site, you can choose to Accept or Deny non-essential cookies. If you click Deny, or if your browser sends a Global Privacy Control (GPC) signal, we will block non-essential cookies by default.

You can revisit your cookie preferences at any time by clicking the “Cookie Preferences (GPC Supported)” link in our website footer. If your browser sends a Global Privacy Control (GPC) signal, we will automatically treat this as a Deny choice.
